Development Manager Job Description

Responsible to: Chair of the Trust

Responsible for: Finance and Admin Officer, Skills and Youth Development Co-ordinator

Hours of work: 37.5 hours per week

Broad Tasks

1. Work with the Chair to ensure that the Board of trustees formulate and regularly review the organisation’s mission and strategic plan; ensure it is able to monitor annual plans and targets.

2. Be responsible for staff leadership, management and administration of the organisation in the execution of the Directors policies.

3. Work with the Chair to ensure that the Board receives appropriate advice and information on all relevant matters and enable it to fulfil its governance responsibilities.

Working with the Directors:

4. Ensure appropriate presentation and reporting to the board on the progress of the organisation, the Resource Centre and on all matters relevant to the discharge of its responsibilities

5. As agreed with the Chair, develop policy proposals for director discussion and decision

6. Support the Chair in ensuring the continued engagement/involvement of all Directors and members of the Trust

7. As appropriate, monitor and advise on the composition of the Directors its committees and the process of self-assessment and development

8. Ensure an annual calendar of meetings of the Directors and its principal sub- committees is in place

9. Ensure the Directors meetings are efficiently serviced and that they receive financial and service development reports on a regular basis.

Leading and managing the organisation and developing services:

10. Ensure that a long term strategy, Development Plan and management of the Resource Centre is in place which can guide the organisation in
achieving objectives.

11. Be visionary and outward looking in seeking and securing new projects and initiatives to meet the needs of the local community as they change.

12. Enable the organisation to articulate its vision, mission and value base; ensure
that these are consistently applied across the organisation

13. Be responsible to the Directors for the overall financial health of the organisation;
managing the investment portfolio and ensure that expenditure is controlled in line with budgets as approved by the Directors

14. Ensure the organisation discharges its constitutional and legal obligations

15. Provide leadership to the staff team and volunteers

16. Ensure that the organisation has the resources (human, material and financial) to
operate as effectively as possible

17. Establish and maintain an HR system which ensures leadership and maximises the potential of staff and is in keeping with the mission and values of the organisation

Promotion of the organisation

18. Maintain effective networks with all principal supporters and strategic stakeholders and partners in the sector

19. Lead on the management of new and existing partnership arrangements and
manage these relationships appropriately

20. Seek opportunities to expand and promote the role of the organisation

21. Ensure the organisation is presented in an appropriate and professional manner to stakeholders

22. Oversee and manage the communications strategy

Person Specification

Experience and knowledge:
• At least two years experience of community development work at project management level.
• Experience of community based learning and /or capacity building to empower committees and the wider community.
• Experience of managing or supervising staff/volunteers.
• Experience and understanding of managing budgets and resources
• Experience of managing facilities eg community centres
• Grant funding
• Social Enterprise and Trading
• Managing reporting systems for all relevant stakeholders and funders.
• Educated to a degree level or having equivalent relevant work experience at a senior level.
• Experience in promotion and marketing.

Skills and abilities
• Excellent project management skills with ability to empower individuals and communities to take on positions of responsibility to become more confident and self reliant in the longer term.
• Excellent written and verbal communication and interpersonal skills to communicate to individuals, different age groups and small and large groups.
• Good public speaker with experience of setting up and delivering presentations.
• A full, clean driving licence.
• Ability to think strategically as well as manage a community committee and competing priorities
• Ability to manage relationships with a wide range of stakeholders who have different objectives and ability to deliver to deadlines.
• IT literate (Microsoft Office, spread sheets and database packages)

Volunteer and Youth Co-ordinator Job Description

Responsible to: Development Manager

Responsible for: Volunteers

Hours of work: 21 hours per week

Broad Tasks

• Co-ordinating of all volunteering activity in Kirknewton and ensuring communications with all relevant stakeholders, particular focusing on youth groups
• Supporting and encouraging volunteers in current and developing groups.
• Evaluate and Monitor and report on outcomes and objectives of the volunteer programme.
• Conducting and maintaining our skills and volunteer audit and data, matching skills to relevant activities in the Kirknewton Development Plan
• Standardising and implementing Policies and Procedures in relation to volunteers
• Ensuring Good Practice is adopted in relation to planning for volunteer involvement, recruitment, support and supervision and training and development of volunteers
• Developing and organising delivery of Volunteer Management Training for key staff and support volunteers
• Developing volunteering opportunities with role descriptions to support social enterprise development and employability skills
• Developing methods of recognising and celebrating volunteer involvement and organising the Kirknewton Volunteer Awards.
• Liaising with the Chief Executive and Directors of the Trust

Admin and Finance Officer Job Description

Responsible to: Development Manager

Hours of work: 21 hours per week

Broad tasks
• To ensure the effective delivery of the service provided by Kirknewton Community Development Trust, in accordance with its Vision, Mission and aims
• To ensure that there is adequate administrative support for the organisation community groups
• Support all financial systems for the organisation and community groups who require it

ADMIN
• Co-ordinating reception over for the Resource Centre
• Maintaining the Resource Centre, Village Hall and Church bookings
• Co-ordinating cleaning rota
• Ensure recycling processes are being maintained
• Answering telephone /message taking
• monitoring/dealing with general e-mails
• ordering stationery and maintaining office supplies
• take minutes of staff meetings, director meetings and other community groups who require support
• coordinate filing of business records
• Implement and maintain filing system
• Maintaining mailing lists and mail shots in partnership with the Project Workers
• Dealing with incoming correspondence; routine letters
• Update the website and new media sites
• Support organisational events

FINANCE
• paying bills- preparing cheques for signature and posting out
• manage and monitor petty cash system
• Prepare staff expenses and payroll for the Manager/Director to sign off
• banking – paying in income received
• meet and provide data for the accounts as needed on a monthly basis by the Development Manager
• Provide monthly management accounts to the Treasurer and Manager in line with finance timetable
